Withdrawing and Receiving Payments
All payments are processed on US Thursday for eligible withdrawals (i.e., $10 or more) made by 17:00 Hub time (UTC, a.k.a. GMT) on Thursday. Therefore, to receive your pay by the end of any given week, you must have at least $10 in your Available balance and request withdrawal before US Thursday before 17:00 UTC. Please allow at least 12 hours after the cutoff for the funds to hit your PayPal account. Be sure to take note of the time difference between you and UTC (don't forget the time will change for you if your area observes daylight savings in the spring and fall!), and we recommend withdrawing 30 minutes before pay cutoff at the latest (16:30 UTC). Any payment requests withdrawn after 17:00 UTC will be paid the following Thursday.

Making A Withdrawal
When you are ready to withdraw your funds, navigate to your Work History page (remember you can get there quickly by clicking the orange Pay Amount at the top of your WorkHub screen). On the top left under Balance Summary, if you have at least $10.000 in your Available column and the Withdraw Funds button is clickable (i.e., the text will become black and not gray), you can withdraw! Click Withdraw Funds.
Again, all withdrawals are paid once a week on US Thursdays. Any funds withdrawn after Thursday 17:00 UTC (Hub time) will be deposited the following Thursday. Be very careful that you know the correct time difference between your location and UTC to ensure you don't accidentally withdraw too late.
PayPal Address
It is absolutely crucial to ensure that your PayPal address is correct on the WorkHub before making a withdrawal request. If there is a typo in the address, your payment will not be processed for that week and you will need to get in touch with the Payments department to receive your pay. See below for what to do in the case of failed payments.
PayPal Fee
When you request a payment, the WorkHub will automatically show you the fee (2.9% + $0.30) that you may expect PayPal to charge. Whether you are charged this fee depends on PayPal and can vary from user to user. TranscribeMe has no control over this fee, but simply tries to help you plan for it. Most of our users report that for a personal PayPal account (i.e., not a Business account), there is never a fee incurred. There is, however, a currency conversion fee for those converting to other than the US dollar. Please see PayPal's site for details on any fees PayPal may charge for your country or currency. TranscribeMe has no control over this.
Payment Status
All files that you submit go through four different payment statuses. You can find the color-coded legend to the right of your Work History page, above your Work History table. The colors correspond to the amount you see in the Total column next to any given entry in the table.
Step One: Pending (file not yet fully processed)
As you submit files, your orange Pay Amount at the top of the screen will update to reflect your new balance (sometimes after a short delay), and it will appear in the Pending column under Balance Summary in your Work History. In your Work History table, the pay amount next to that file (Total) will at first be displayed in red. This means that the full file has not yet been submitted to the client.
Step Two: Available for withdrawal
Once the complete file has been finished and submitted by a QA or a Reviewer, the money you earned for that file will move from Pending to Available. In your Work History table, the Total for that file will turn from red to orange, and you can use the View button to see what, if any, changes the QA or Reviewer made. Your earnings for all files with an orange Total will now count towards your withdrawal for the week!
Step Three: Withdrawn, not paid
You can request a payment as soon as your Available balance reaches at least $10.0000, and you can request as many payments per week as you can earn. These payments will be made to your PayPal account on the next scheduled payday, i.e., the following Thursday.
Step Four: Withdrawn, paid
Once your payment has been processed and sent to PayPal, it will turn green. Any money in your Available balance that you did NOT request a payout for will remain in your account and simply roll over to the next week. Next to the Total you will see the Payment ID for that withdrawal. You will need to reference this ID if you experience any problems with your payment.
Canceled
Note that, barring extraordinary circumstances, you will ALWAYS be paid for any file you successfully submit on our hub (provided it isn't rejected by a QA), even if the client cancels. However, Transcription jobs that are rejected by a QA due to quality will show up as Canceled, and the pay amount will become gray and turn to $0.0000. Please see the Transcriber Handbook for more details on QA rejections and tips to avoid them.
Failed Payments
If, on any given week, your payment was unsuccessful and you were certain that:
- You withdrew before the 17:00 UTC cutoff
- Your PayPal address is correct and contains no typos
- You still had not received a payment after 24 hours of the cutoff
Then please send in a Help Desk ticket explaining your issue, and select Payment Issues as the reason. In your ticket, please include the payment ID and the date and time that you requested your pay (i.e., withdrew your funds). Please allow at least three business days for your ticket to be processed.
